The good news is that you don’t have to compromise on the experience at all. After all, your audience’s expectations won’t be any lower. When you see the budget shrinking, you need to let your creativity grow. There are many aspects of your role as an event manager where you can manage the budget sustainably while still delivering top quality.

Be creative in your output  

Thinking outside the box isn’t just about the creative execution of your event, but also about how you’ll bring it to life. You might have a great idea and throw the most expensive resources at it, the ideal scenario for budget spending. However, we all know that reality is often different. So consider the budget-friendly alternatives. Don’t strip your idea down; just present it differently.

Suppose you want a certain structure on your stage. Your first choice is a beautiful oak version. It’s quite expensive and, on top of that, very heavy. An alternative is to opt for a cardboard version. With the right finish and lighting, the difference is barely noticeable. Of course, this is something you’ll have to evaluate on a case-by-case basis.

Another example is creating a life-size model of a palace. This could be done by building a truss structure and covering it with printed fabric. Effective, but not the most budget-friendly solution. Another option is to build a truss structure and hang the fabric from it. Or how about a palace made from printed honeycomb cardboard? Both options are ultimately much cheaper without compromising on quality.

Doing more with less doesn’t mean cutting corners or downsizing. It means creatively shifting the focus from “What can we do?” to “How are we going to do it?” That’s why it’s important to work with experienced partners who can present all the different possibilities.
